Account & Data Deletion

The Gym by Koovira (thegym.koovira.com) is a Koovira platform operated by Trishara Ventures LLP. The Gym represents Koovira and runs on the same Koovira account, Koovira wallet and Koovira infrastructure as the rest of Koovira. The master versions of our Privacy, Terms, Refund and Account-deletion policies live on koovira.com:

The Gym by Koovira (thegym.koovira.com) is operated by Trishara Ventures LLP. Deleting your account here removes your The Gym profile and the fitness / health data associated with it. Membership, bookings and wallet balances are governed by the Refund policy; see "What may be retained" below.

How to delete your account

If you can sign in

Open The Gym (web or app) and go to Account → Security → Delete My Account → Confirm. The flow asks you to re-enter your password, shows what will be removed, and submits the request immediately.

If you cannot sign in (lost phone, uninstalled the app, forgot password)

Email grievance@koovira.com from the email address on your account, OR send a signed request from your registered mobile number. We verify identity before processing — this protects you from someone else requesting your deletion.

What is deleted

Your The Gym profile (name, avatar, bio, display preferences).
Your workouts, logged sessions, personal records, measurements and progress photos.
Health data you entered or synced — weight, body-composition, resting metrics, nutrition logs, sleep logs, fitness-passport check-ins.
Membership preferences, saved gyms, favourited trainers, class history and trainer-chat history.
Device identifiers, push-notification tokens, saved preferences, promotional opt-ins.
Location data stored against your account (last known, recent check-ins, saved gyms).

What may be retained (and why)

Membership and payment records — up to 8 years, as required by the Income-tax Act and Companies Act, and for the period mandated by the payment partner's agreement and RBI norms.
Trainer-session proofs and dispute records — until the dispute is resolved and the limitation period for any claim has lapsed.
Unused Koovira wallet balance — governed by the Koovira wallet terms on koovira.com, not by this membership. Deleting your The Gym profile does not by itself close the Koovira wallet; use the Koovira delete-account flow at koovira.com/delete-account.php for that.
Fraud, abuse or safety signals — up to 7 years, to prevent re-registration under a new identity.
Legal-hold records — where a court order, lawful process or regulator requires us to retain specific data.

How long it takes

We acknowledge your request within 24 hours and complete deletion within 15 days, in line with the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules 2021 and the DPDP Act, 2023. Where an exception above applies to specific records, we tell you which ones and for how long we must retain them.
